How do I work out what size PA system I need for my event?
The main driver is your guest count and whether you are indoors or outdoors. As a rough teaching guide, up to around 50 people a compact PA is usually enough, up to about 150 a medium system, up to roughly 400 a large system, and above that you are into line array territory. Outdoor events generally need more power than the same crowd indoors, because there are no walls or ceiling to reflect sound back, so size up if you are in the open.
What does an AV quote actually include beyond the speakers?
A realistic AV quote covers far more than the PA boxes. Expect line items for cabling, speaker stands and general setup, plus any add-ons like stage lighting, a projector and screen, staging or risers, extra wireless microphones, DJ-style playback and an on-site operator. Delivery, setup time and pack-down also factor in, especially for venues outside the metro area, so an itemised breakdown helps you compare apples with apples.
Do I need an on-site operator, or can I run the gear myself?
For a simple background-music-and-a-mic setup you can often self-operate once it is patched and levelled. As soon as you have live speeches, a band or DJ, lighting cues, or anything where feedback and mix changes matter, an operator earns their place by keeping levels clean and reacting in real time. Operator cost is typically charged by the hour with a minimum call, so a short event still carries a base figure.
Why is an outdoor event more expensive to put sound into than an indoor one?
Outdoors you lose the natural reinforcement that walls and ceilings give you indoors, so the same crowd needs noticeably more speaker power and often extra subs to carry. You also have to plan for mains power or a generator, weather protection for the gear, and longer cable runs across open ground. Those extra requirements are why an outdoor surcharge is common on planning estimates.
